Service

Lighting that looks right on camera and in the room.

Two separate jobs. One — the speaker on stage needs enough front light that both the audience and the cameras see their face properly. This matters most when there is an LED screen behind them, because LED throws a cool, bright wash that leaves an unlit speaker looking dark and blue-tinged. Two — atmospheric lighting on the perimeter and the wall behind the stage sets the mood and turns a generic conference room into an event venue.

Two lighting layers (usually combined)

1. Speaker lighting (essential)

A bright-enough, neutral-temperature front wash on the speaker. Needed even without filming — simply so the audience can see the speaker's face. With cameras in the room, or with an LED screen behind the stage, it becomes mandatory: without it the cameras capture a dark, blue-tinged image that cannot be fixed in post.

2. Atmospheric lighting (on demand)

Coloured washes on the perimeter, the wall behind the stage, or the ceiling. Changes the look of a generic conference hall — sets the mood, can be matched to the event's brand or the evening programme. It is for the audience, not the cameras, so colour choices are looser.

What to expect on event day

  • Enough light for cameras and the audience: we measure the light level at the speaker's face — not just at the edge of the stage. The face has to be lit from the front (not just from above), with no harsh shadows from LED or projection behind.
  • Tuned to LED screens: when there is an LED screen behind the speaker, its light competes with the front wash. We push the front lights warmer to neutralise the cool LED throw so the face reads correctly on camera.
  • Not blinding for the speaker: the typical mistake is one strong spot pointed at the speaker's eyes, which makes them squint. We diffuse the light across multiple sources at moderate intensity — the face is lit but the speaker can still see the audience.
  • Atmospheric programme to match the run-of-show: the atmosphere can change with the programme: one colour for the opening, another for talks, another for the coffee break or networking. We programme the cues in advance and trigger them from the desk.

When it fits, when it does not

Good fit

  • An event that will be filmed or streamed — the cameras need proper light.
  • An event with an LED screen behind the speaker (without a front wash, the face goes dark).
  • A conference or training in a larger room where the audience cannot read the speaker's face without help.
  • An event you want to look like an event, not a routine meeting in a hall — atmospheric lighting changes the impression instantly.
  • Events with sponsors who care about how the venue reads in photos and video.

Not a fit

  • A small seminar in a well-lit room where natural light is enough.
  • An event without filming, streaming, or a large audience, where reinforcing the lighting adds nothing.
  • A venue where the organiser already has lighting equipment in place — in that case we discuss whether to top up or work with what is there.

What is included with ProConf

  • Speaker lighting, front fixtures with the right colour temperature and beam spread for the specific stage.
  • Atmospheric lighting on demand, coloured washes for the perimeter, the wall behind the stage, or the ceiling. Several cues, triggered from the desk.
  • Lighting controlled from the desk, the desk reacts to the run-of-show and triggers atmospheric transitions on cue.
  • Coordination with filming and LED, when the same partner runs lighting and filming, stage light is matched to camera exposure and to the LED level on day one — saving you from dark recordings that need fixing in post.
  • Pre-event venue check, we visit the venue before the event, assess natural light, existing fixtures, and decide where to place additional units.

Pricing

Lighting is part of the event package. A standard single-room conference without streaming starts at:

from €800 excl. VAT

A hybrid event with streaming and the econf.ai platform starts from €1,200 excl. VAT. The actual price depends on whether you need only speaker lighting or atmospheric on top, plus room size and stage complexity. An LED wall (5×3m P3 via partner) adds about €1,600–2,200 excl. VAT. A standalone lighting rate (when we plug into another vendor's AV setup) will be published with the pricing calculator in the coming months.

Frequently asked

Why do you need front light when there is an LED screen behind the stage?

An LED screen throws a strong, usually cool-temperature wash directly toward the audience and the cameras. Without front light, the speaker ends up in the LED's shadow — cameras read a dark silhouette with a blue tint that cannot be fixed in post. With proper front light, the face reads naturally and the LED becomes a backdrop instead of the dominant light source.

Is atmospheric lighting necessary for a professional conference?

Not necessary, but it changes the impression. A typical conference hall with bright white ceiling lights reads as a seminar. The same hall with perimeter wash, a tinted wall behind the stage, and matched ceiling fixtures reads as an event. That matters for sponsors, for social photography, and simply for how attendees feel.

Does the lighting hurt the speaker's eyes?

Set up correctly, no. The mistake is aiming one strong spot directly at the face, which forces the speaker to squint. We use multiple lower-intensity sources at an angle so the face is lit but the speaker can still see the audience comfortably.

What is the difference between an atmospheric wash and a spot?

A spot gives a narrow, bright beam — used for a speaker or a specific point on stage. A wash gives a wide, soft beam — used for a coloured spread on a wall or perimeter. Most events combine both: spots on the speaker, washes for atmosphere.

Can the lighting change during the event?

Yes — we programme several cues in advance. For example: opening with a blue back-wall and a strong stage; talks with a neutral white stage and dimmed atmosphere; coffee break with a warm perimeter and the stage off; closing back to the stage with a more dynamic colour. The lighting engineer triggers transitions from the desk on the run-of-show.

Do you handle LED walls if the client wants one?

Yes — we source a 5×3m P3 LED wall through trusted partners. It is a third-party item, openly disclosed in the quote, not a ProConf service. The typical add-on cost is €1,600–2,200 excl. VAT. Whenever LED is used, we automatically size up the speaker front light so the face does not end up in shadow.

Do you need to visit the venue beforehand?

Yes, especially for lighting. Every venue has different natural light, ceiling height, wall colour, and existing rigs. We arrive ahead of time (typically the day before for larger events, or the morning of for smaller ones), check light levels, position the units, and programme the cues.

How much does it cost?

A standard single-room conference without streaming starts at €800 excl. VAT. A hybrid event with streaming and the econf.ai platform starts from €1,200 excl. VAT. An LED wall via partner is an additional €1,600–2,200 excl. VAT. A standalone lighting rate (without other package services) will be published with the pricing calculator.

Let's talk about your event lighting.

Send a brief on the venue, attendee count, whether you plan to use an LED screen, and whether the event will be filmed. We will come back with a quote that includes lighting with concrete numbers.
